Five golden rules of administration

Administrator is defined as a person who manages the affairs of an official organization or body. They are also known as managers and executives. Since, most of us work for some organization for a living; we are all responsible for the administration. However, administration is never an easy job as it means getting people’s work done within the stipulated time. This often means persuasion and also the application of force, since most people do not work without force. However, force creates a backlash that reduces the effectiveness of the manager. Every leader and manager must be a good administrator, since they must deliver things to people.

People can become better and more efficient managers by following these five rules.

1. Rule of law

Managers often have to run after people to get the job done. This method can work when there are a small number of people working under the manager. When the number increases, managers waste much of their energy chasing after people, leaving no time to plan and complete important work. It is better to actually develop a system based on well-defined rules and laws that clearly state tasks and criteria for rewards and punishments. In this way, instead of looking for people, the manager should focus only on the people who should be rewarded or punished.

2. Be fair

Once the rules for administration have been clearly established, the next step is to implement the rules in a fair and equitable manner. This can sometimes pose problems, as even managers’ favorite people could not be rewarded beyond the rules and might also have to be punished if they break the laws. However, fairness and equality motivate most people to act objectively and the efficiency of the organization automatically improves.

3. Take decisive action

It is often not easy to reward people and punish people who do not comply. Rewards are always questioned and punishments are always believed hated. However, a good manager must take the proper steps if he wants to maintain the sanctity of the rules. Actions must be selective but harsh so that they can have a deterrent effect on other people.

4. Comments

One can never visualize all situations by framing the rules. Rules are tested only when applied to people in real life situations. Therefore, the administrator must continually receive feedback on the implementation of the rules. This would allow you to discard rules that have proven to be ineffective and create new rules that may offer better results.

5. Use discretion

Often times, the rules become so exhaustive and inflexible that the organization begins to act like a machine. Thereafter, they become just the implementers of the rules, forgetting the real purpose for which they were created. Therefore, the rules should give managers sufficient discretionary powers so that they can use the rules to achieve the organization’s ends rather than become a mere implementer of the rules. Discretionary power can take over the human element of the administrator.
